CenterFocus Trip Reservations, Regulations & Cancellation Policy

Thank you for reserving a trip with CenterFocus. Please take a moment to review the information below, as it relates to the terms of agreement regarding your tour. If you have any problems or concerns regarding your trip and/or this policy, please contact us immediately. Please be aware that this serves as a contractual binding agreement between you, your party, and CenterFocus LLC. It is your responsibility as an adult to use good judgment for yourself and your children, to be honest with us as guides and to accept responsibility for your own decisions and actions. Please honor the following agreement.

Trip Insurance is a great idea if concerned about your trip possibly falling through. If a group member were to become sick, work plans change, etc., you would not only lose money in regards to our tour in many cases, but in regards to your airfare, hotel reservations, etc. For this reason, trip insurance is recommended for any event that you book, whether with our company, or any other company for that matter. Please purchase trip insurance if you are concerned in any way that your tour may fall through, or as a general means to protect yourself from any monetary loss.

Single Day Trips

Any trip or tour requires a valid credit card (Mastercard, Visa or Discover), prior to CenterFocus formally reserving space for your group and its given adventure. For single day trips, the full amount will be charged to your credit card three days prior to your trip with us. We need you to call us with your payment details, and at that time we will collect additional information and answer questions during a five minute phone consultation with you to assure you the perfect trip. You can email us to tentatively reserve the tour however.

If you are forced to cancel a trip, you must provide CenterFocus with a minimum of 72 hours (3 days) of notice for single day trips/tours. If we receive at least three days of notice prior to the assigned departure time and date for your trip, you will not be charged. If we do not receive a cancellation with at least three days of notice, then 100 percent of the trip cost WILL BE BILLED TO YOU. The exception to this would be the criteria as stated in the below paragraph (i.e. Weather, hazardous conditions, etc.), in which CenterFocus is forced to cancel. If this were the case you would be charged nothing for your trip.

If there are inclement/dangerous conditions prior to a trip, CenterFocus will cancel the trip for the purpose of group safety. If CenterFocus is forced to cancel due to weather/conditions prior to departure, you will be charged nothing. Conditions could be anything that poses a threat to safety and the logistically do-ability of the journey. Flash flooding in our canyons, heat waves, road closures, park or land closures, guide injured or sick last minute, wildfire, etc., as well as any other factor that CenterFocus deems to make a trip impossible to properly run, are valid reasons that CenterFocus may cancel your journey. Again, you will be charged nothing whatsoever if this is the case, but trip insurance is suggested to protect you in regards to your other related trip expenses, which are not the responsibility of CenterFocus. The decision to cancel a trip based on weather is at the sole discrimination of CenterFocus and its guides. We cannot always guarantee perfect comfortable weather, as this is beyond our control and part of the natural experience of being outside. Again however, if the weather issue is safety related, we will immediately cancel your trip and you will not be charged. If you DO NOT receive a call from CenterFocus, telling you that your trip is cancelled due to weather/local conditions a day/a few days prior to departure; you are expected to be at the assigned meeting place at the assigned time. If you fail to show up and meet our guide/guides, regardless of weather conditions, YOU WILL BE CHARGED 100 PERCENT of the total trip cost. Once at the assigned meeting/pick-up location, your guide/guides will make a final determination on whether or not a trip is safe to embark on. If the guide/guides decide at the assigned meeting location, a trip will be unsafe; they will be forced to cancel your adventure. Should this occur, your payment, if already charged, will be fully refunded and/or you will be charged nothing.

If you book a trip with us within three days of your desired dates, all of the above cancellation policies are effective immediately.

IF YOU DO NOT SHOW UP to the assigned meeting place WITHIN 45 MINUTES of our scheduled meeting time, the trip is cancelled and YOU WILL BE BILLED 100 PERCENT.

Once a trip is underway (i.e. you have started climbing, canyoneering, hiking, backpacking, etc., with our guide/guides), NO REFUND will be given for ANY REASON, including inclement weather that could force us to abort the remainder of the trip, once the trip has started.

At any point during any trip CenterFocus guides can cancel the event at no refund given the following situations:
- The guide/guides feel conditions are deteriorating in the area potentially posing unsafe and hazardous conditions.
- The guide/guides do not feel that participants are able to safely complete the remainder of the journey whether in regards to health, fitness, or any other medical/physical issues that could jeopardize the safety of our team.
- The guide/guides do not feel that participants are adequately following directions, and/or not listening to our provided safety briefings and lessons.
- The guide/guides feel that they are being treated in a disrespectful manner.

If you would prefer that payment be split among a few different group members, this is no problem. If this is the case upon booking, we will hold the reservation under a single credit card/participant, but will need all other participants paying separately to contact us at least 72 hours prior to the trip with their card information. If we are not contacted by other participants, payment obligation rests on the person that booked the trip with us and provided the primary card. The cancellation policy still does apply, and the responsibility of payment if a no show, etc., or late cancellation, would fall onto the individual that reserved the trip initially and be billed accordingly to their credit card unless again, we were instructed to divide payment among group members upon you making the reservation. If this is of concern, either have the members of your group pay you via check before reserving, or have them call our office and provide credit card details to us in addition to your payment/credit card information. If this is the case, we will bill each group member separately and apply these rules and regulations on a person to person basis. This decision is up to you.

Once you have provided us with your name, address, email, contact number, and payment information via telephone, as well as consulted with us on your trip logistics, food and any medical issues that you may have, CenterFocus will send out a confirmation in regards to your trip, including all pertinent information, meeting points, and a recommended clothing list. A telephone conversation to reserve a trip with us typically lasts about 5 to 10 minutes and helps both parties' best plan for our unique excursions, and simplifies for all of us. This call can be planned so that our agents can contact you, whenever may be convenient. Just let us know. Please be advised that ONE confirmation will be sent to you. Please do not contact us prior to your trip to re-confirm that we will be there. If you have a trip scheduled with us WE WILL ALWAYS BE THERE. Sometimes we have multiple tours or are out in the wilderness guiding. As a result we cannot guarantee that someone will always be in the office to answer your questions a few days prior to your trip with us, or to re-confirm with you. We also do not have agents in the office 24 hours a day; please consider the time zone from where you are calling as well. If you need assistance or have questions, please call us in advance so that we can assure that we are able to help you in any way possible. We are certainly always happy to resend information upon request in regards to your trip, or to answer any questions that you may have.

A reservation is for a stated number of people for a stated tour. If you change the trip that you book with us this is fine, but we cannot promise last minute availability for a tour other than the one you already booked. If we are within 3 days of the confirmed tour, a change of tour is not an option. You do not get credit towards a different tour or are allowed to switch to a different tour if within 3 days of your already confirmed tour. You cannot switch tours once within 3 days. All you can do is cancel at that point, and be charged the total trip cost.

The number of people that you reserve for is how many people you must pay for, once within 3 days of your confirmed trip as arrangements have already been made to accommodate our clients at that point. If six people become five, you will be responsible to still pay for six if less than 3 days prior to the trip. If you tell us of desired changes with greater than 3 days of notice, we can make the change at no cost.

Please remember that whoever provides the credit card to make the reservation will take upon the burden of this cancellation policy, even if payment was/is intended to be split among group members. Of course in that case you may tell the other members of the group that they need to reimburse you, but CenterFocus will gain proper compensation through the billing of the sole and single card on file that originally made the reservation. The burden of penalty payment wise falls on the person whom reserves the tour, and provides the credit card info; unless you have your group members individually call us to provide us their additional payment information. If you need to make changes please contact us ahead of time (3 days+) and it is no issue for us to help you! The cost per person may go up as prices are quoted on number of participants if some people drop out. The new price will be quoted to you, and a confirmation will be resent detailing the change in the number of participants.

Lastly, you are hiring a guide. When you do this please be advised that we will need you to allow us to guide you. When you do not it puts us in a position of responsibility without letting us properly control the situation and make the correct decisions. It is alright to ask questions, but telling our guide what to do is not productive. Please do not put us in this position.

Multi-Day Trips, Grand Canyon, Havasupai, Rules and Policy

Please be aware that this serves as a contractual binding agreement between you, your party, and CenterFocus LLC. Please honor the following agreement. This agreement only applies when rare unfortunate things happen.

Trip Insurance is a great idea if concerned about your trip possibly falling through. If a group member were to become sick, work plans change, etc., you would not only lose money in regards to our tour in certain cases, but in regards to your airfare, hotel reservations, etc. For this reason, trip insurance is recommended for any event that you book, whether with our company, or any other company for that matter. Please purchase trip insurance if concerned in any way that your tour may fall through, or as a general means to protect yourself from any monetary loss.

Any trip or tour requires a valid credit card (MasterCard, Visa or Discover), prior to CenterFocus formally reserving space for your group and its given adventure. For multiday trips, a $300 total (not per person), non-refundable deposit must be made. The full balance of the trip will be charged to your credit card one week prior to your trip with us.

If you are forced to cancel a trip, you must provide CenterFocus with a minimum of one week of notice for multiday tours. If we receive at least one week of notice prior to the assigned departure time and date for your trip, you will only forfeit your $300, non-refundable deposit. If we do not receive a cancellation with at least one week of notice, then 100 percent of the trip cost WILL BE BILLED TO YOU and you will be given a credit good to use with our company for one year, minus the $300 non-refundable deposit, and a $400 total processing fee. 72 hours or less there are no refunds, or credits. You will be billed 100 percent in that case, no credit. The exception to this would be the criteria as stated in the below paragraph (i.e. Weather, hazardous conditions, etc.), in which CenterFocus is forced to cancel. Again, if this were the case you would be charged nothing for your trip and your deposit will be fully refunded to you.

In this case you will all be billed/this policy applies individually. If we only have the payment information from the reservee/person whom sets this up for themselves and other group members, the cancellation policy still does apply, and the responsibility of payment if a no show, etc., or late cancellation for any group member, would fall onto the individual that reserved the trip initially and be billed accordingly to their credit card. The person, who presents the card to make the reservation, is responsible for all associated penalty fees in relation to this policy, unless the other group members have provided us their payment information as well at least 7 days prior to the trip launch.

Once you have provided us with your name, address, email, contact number, and payment information via telephone, as well as consulted with us on logistics and food, CenterFocus will send out a confirmation in regards to your trip, including all pertinent information, meeting points, and a recommended clothing list. A questionnaire will also be sent out, and we will need your input on these questions prior to one week before any trip to properly accommodate your group. This questionnaire can be filled out over the phone by our staff, if you are willing to provide us with an extra 5 minutes in addition to the 5 minute phone consultation that is necessary. We can reserve you fully online, but a telephone conversation to reserve a multiday trip with us typically lasts about 10 minutes and helps both parties' best plan for our unique excursions, and helps all of us to best plan for the trip. If it is easier, you can tell us a time that works well for you, and we will have a reservation agent contact you at that time. Please be advised that ONE confirmation will be sent to you. Please do not contact us prior to your trip to re-confirm that we will be there. If you have a trip scheduled with us WE WILL ALWAYS BE THERE. Sometimes we have multiple tours or are out in the wilderness guiding. As a result we cannot guarantee that someone will always be in the office to answer your questions a few days prior to your trip with us, or to re-confirm with you. If six people becomes five, you will be responsible to still pay for six if less than one week. If you tell us of desired changes with greater than one week of notice, we can make the change, but any change will forfeit the $300 deposit (total, not per person) as an administrative fee as we must change out permits, etc. for these multiday excursions. Please remember that whoever provides the credit card to make the reservation will take upon the burden of this cancellation policy, unless payment was/is intended to be split among your group members and we have received their payment information as well. Of course you may tell the other members of the group that they need to reimburse you, or collect payment from them upfront before making the reservation with us, but CenterFocus will gain proper compensation through the billing of the sole and single card on file that originally made the reservation if the other group members have not provided us their payment information. The burden of penalty payment wise at that point falls on the person whom reserves the tour, and provides the credit card. If you need to make changes please contact us ahead of time (1 week+) and it is no issue for us to help you!

Lastly, you are hiring a guide. When you do this please be advised that we will need you to allow us to guide you. When people do not it puts us in a position of responsibility without letting us properly control the situation and make the correct decisions. It is alright to ask questions, but telling your guides what to do is not productive. Please do not put us in this position.

If you desire dates during busy times of the year, or provide us with little advanced notice, we will do our best to get the necessary permits as quickly as we are able to, through the National Park Service, to make the trip possible for you. We require a valid credit card before we attempt to secure permits. This normally takes one to two weeks on average. If there are no permits available, you will be charged nothing, and notified immediately that no space is available.
