CenterFocus Trip Reservations, Regulations & Cancellation Policy

Thank you for reserving a trip with CenterFocus. Please take a moment to review the information below, as it relates to the terms of agreement regarding your tour. If you have any problems or concerns regarding your trip and/or this policy, please contact us immediately. Please be aware that this serves as a contractual binding agreement between you, your party, and CenterFocus LLC. It is your responsibility as an adult to use good judgment for yourself and your children, to be honest with us as guides, and to accept responsibility for your own decisions and actions. Please honor the following agreement.

Trip Insurance is a great idea if concerned about your trip possibly falling through. If a group member were to become sick, work plans change, etc., you would not only lose money in regards to our tour in many cases, but in regards to your airfare, hotel reservations, etc. For this reason, trip insurance is recommended for any event that you book, whether with our company, or any other company for that matter. Please purchase trip insurance if concerned in any way that your tour may fall through, or as a general means to protect yourself from any monetary loss.

Single Day Trips

Any trip or tour requires a valid credit card (Mastercard, Visa or Discover), prior to CenterFocus formally reserving space for your group and its given adventure. For single day trips, the full amount will be charged to your credit card three days prior to your trip with us. We need you to call us with your payment details, and at that time we will collect additional information and answer questions during a five minute phone consultation with you to assure you the perfect trip. You can email us to tentatively reserve the tour however. YOU MUST SEND BACK THE MEDICAL QUESTIONAIRE VIA EMAIL FOR ALL GROUP MEMBERS. WE ALSO ASK YOU THIS INFORMATION DURING CONSULTATION, PLEASE BE HONEST, BE SURE YOUR GROUP IS HEALTHY IF YOU BOOK THIS TRIP.

If you are forced to cancel a trip or make changes to the number of people on the trip, you must provide CenterFocus with a minimum of 72 hours (3 days) of notice for single day trips/tours. If we receive at least three days of notice prior to the assigned departure time and date for your trip, you will not be charged. Our prices are based on number of participants. If we receive at least three days of notice prior to the assigned departure time and date for your trip stating that you wish to decrease the number of people originally booked, then all discounts given will be forfeited, and the original price may change based on the circumstance. If we do not receive a cancellation with at least three days of notice, then 100 percent of the trip cost WILL BE BILLED TO YOU. The exception to this would be the criteria as stated in the below paragraph (i.e. Weather, hazardous conditions, etc.), in which CenterFocus is forced to cancel. If this were the case you would be charged nothing for your trip.

If there are inclement/dangerous conditions prior to a trip, CenterFocus will cancel the trip for the purpose of group safety. If CenterFocus is forced to cancel due to weather/conditions prior to departure, you will be charged nothing. Conditions could be anything that poses a threat to safety and the logistically do-ability of the journey. Flash flooding in our canyons, heat waves, road closures, park or land closures, guide injured or sick last minute, wildfire, etc., as well as any other factor that CenterFocus deems to make a trip impossible to properly run, are valid reasons that CenterFocus may cancel your journey. Again, you will be charged nothing whatsoever if this is the case, but trip insurance is suggested to protect you in regards to your other related trip expenses, which are not the responsibility of CenterFocus. The decision to cancel a trip based on weather is at the sole discrimination of CenterFocus and its guides. We cannot always guarantee perfect comfortable weather, as this is beyond our control and part of the natural experience of being outside. Again however, if the weather issue is safety related, we will immediately cancel your trip and you will not be charged. If you DO NOT receive a call from CenterFocus, telling you that your trip is cancelled due to weather/local conditions a day/a few days prior to departure; you are expected to be at the assigned meeting place at the assigned time. If you fail to show up and meet our guide/guides, regardless of weather conditions, YOU WILL BE CHARGED 100 PERCENT of the total trip cost. Once at the assigned meeting/pick-up location, your guide/guides will make a final determination on whether or not a trip is safe to embark on. If the guide/guides decide at the assigned meeting location, a trip will be unsafe; they will be forced to cancel your adventure. Again, if this is the case your payment if already charged, will be fully refunded and/or you will be charged nothing.

If you book a trip with us within three days of your desired dates, all of the above cancellation policies are effective immediately.

IF YOU DO NOT SHOW UP to the assigned meeting place WITHIN 45 MINUTES of our scheduled meeting time, the trip is cancelled and YOU WILL BE BILLED 100 PERCENT.

IF ONE OR MORE OF YOUR GROUP MEMBERS DOES NOT SHOW UP to the assigned meeting place without at least 72 hours-notice, you will be billed for the members of the group who don’t show up at the scheduled meeting time.

Once a trip is underway (i.e. you have started climbing, canyoneering, hiking, backpacking, etc., with our guide/guides), NO REFUND will be given for ANY REASON, including inclement weather that could force us to abort the remainder of the trip, once the trip has started.

At any point during any trip CenterFocus guides can cancel the event at no refund given the following situations:
- The guide/guides feel conditions are deteriorating in the area potentially posing unsafe and hazardous conditions.
- The guide/guides do not feel that participants are able to safely complete the remainder of the journey whether in regards to health, fitness, or any other medical/physical issues that could jeopardize the safety of our team.
- The guide/guides do not feel that participants are adequately following directions, and/or not listening to our provided safety briefings and lessons.
- The guide/guides feel that they are being treated in a disrespectful manner.

If you would prefer that payment be split among a few different group members, we cannot do this. ONE person must make, and pay for the reservation and the group. YOU can collect the money needed prior to booking with us from those coming along with you. Remember this means this payment and cancel policy falls on YOU, as you made the reservation. The responsibility of payment if a no show, etc., or late cancellation, would fall onto the individual that reserved the trip initially and be billed accordingly to their credit card. HOWEVER, if each/any group member mails a check to CenterFocus at 683 N. Main St., Unit 1A, Cottonwood, AZ 86326, and we receive this prior to 72 hours to trip, then the person whom reserved the trip would NOT be responsible any longer for this persons payment. Include email address and trip date on the check so we can email you a paid receipt please. SO, either have the members of your group pay you via check before reserving, or have them mail our office their payment via check. If this is the case, we will bill that group member separately and apply these rules and regulations on a person to person basis. This decision is up to you. Again if no payments are received by 72 hours prior to trip, the credit card on file will be billed for the remaining balance.

Once you have provided us with your name, address, email, contact number, and payment information via telephone, as well as consulted with us on your trip logistics, food and any medical issues that you may have, CenterFocus will send out a confirmation in regards to your trip, including all pertinent information, meeting points, and a recommended clothing list. A telephone conversation to reserve a trip with us typically lasts about 10 minutes and helps both parties’ best plan for our unique excursions, and simplifies for all of us. This call can be planned so that our agents can contact you, whenever may be convenient. We are happy to make international calls to reach you if provided with a good time to contact you, regardless of where in the world you reside. Just let us know. Please be advised that ONE confirmation will be sent to you. Please do not contact us prior to your trip to re-confirm that we will be there. If you have a trip scheduled with us WE WILL ALWAYS BE THERE. Sometimes we have multiple tours or are out in the wilderness guiding. As a result we cannot guarantee that someone will always be in the office to answer your questions a few days prior to your trip with us, or to re-confirm with you. We also do not have agents in the office 24 hours a day; please consider the time zone from where you are calling as well. If you need assistance or have questions, please call us in advance so that we can assure that we are able to help you in any way possible. We are certainly always happy to resend information upon request in regards to your trip, or to answer any questions that you may have.

A reservation is for a stated number of people for a stated tour. If you change the trip that you book with us this is fine, but we cannot promise last minute availability for a tour other than the one that you already booked. If we are within 3 days of the confirmed tour, a change of tour is not an option. You do not get credit towards a different tour or are allowed to switch to a different tour if within 3 days of your already confirmed tour. You cannot switch tours once within 3 days. All you can do is cancel at that point, and be charged the total trip cost.

The number of people that you reserve for is how many people you must pay for, once within 3 days of your confirmed trip as arrangements have already been made to accommodate our clients at that point. If six people become five, you will be responsible to still pay for six if less than 3 days prior to the trip. If you tell us of desired changes with greater than 3 days of notice, we can make the change; however, any discounts provided are subject to change.

Please remember that whoever provides the credit card to make the reservation will take upon the burden of this cancellation policy, even if payment was/is intended to be split among group members. Of course in that case you may tell the other members of the group that they need to reimburse you, but CenterFocus will gain proper compensation through the billing of the sole and single card on file that originally made the reservation. The burden of penalty payment wise falls on the person whom reserves the tour, and provides the credit card info; unless you have your group members individually call us to provide us their additional payment information. If you need to make changes please contact us ahead of time (3 days+) and it is no issue for us to help you! The cost per person may go up as prices are quoted on number of participants if some people drop out. The new price will be quoted to you, and a confirmation will be resent detailing the change in the number of participants.

SUPPORT SMALL BUSINESS! If you are willing to pay by check 72 hours or more prior to your trip, then we will give you 25 dollars off of your single-day trip (not per person, off of total trip cost). This helps us by avoiding the need to make payments to our credit card billing service.

Lastly, you are hiring a guide. When you do this please be advised that we will need you to allow us to guide you. When you do not it puts us in a position of responsibility without letting us properly control the situation and make the correct decisions. It is alright to ask questions, but telling our guide what to do is not productive. Please do NOT put us in this position.

Multi-Day Trips, Grand Canyon, Havasupai, Rules and Policy

For multiday trips, a $200 total per person, non-refundable deposit must be made on the booking date. The full balance of the trip will be charged to your credit card 14 days prior to your trip with us.

MOST IMPORTANTLY, WE NEED THE MEDICAL FORMS SENT BACK FROM EACH PARTICIPANT BY 14 DAYS PRIOR TO TRIP (or within 3 days of making a reservation for a multi-day trip with under 14 days until launch from time reserved) OR ELSE WE CANCEL THAT PERSON FROM THE TRIP AND THEY MAY LOSE THEIR $200 NON REFUNDABLE DEPOSIT. During our 10 minute phone consultation that is necessary we also ask you about medical conditions and abilities at this time as well, BUT we still need the editable online medical form sent back. We can reserve you fully online, but a telephone conversation to reserve a multiday trip with us typically lasts about 10 minutes and helps both parties’ best plan for our unique excursions, and helps all of us to best plan for the trip. If it is easier, you can tell us a time that works well for you, and we will have a reservation agent contact you at that time. We are happy to make international calls to reach you. Please remember that whoever provides the credit card to make the reservation will take upon the burden of this cancellation policy, unless payment was received by CenterFocus prior to 14 days of tour. Of course you may tell the other members of the group that they need to reimburse you, or collect payment from them upfront before making the reservation with us, but CenterFocus will gain proper compensation through the billing of the sole and single card on file that originally made the reservation if the other group members have not provided us their payment information. If you need to make changes please contact us ahead of time (2 week+) and it is no issue for us to help you!

SUPPORT SMALL BUSINESS! If you are willing to pay by check 14 days or more prior to your trip, than we will give you 75 dollars total off of your multi-day trip (not per person but off total trip cost). This helps us by avoiding the need to make payments to our credit card billing service.

Lastly, you are hiring a guide. When you do this please be advised that we will need you to allow us to guide you. When people do not it puts us in a position of responsibility without letting us properly control the situation and make the correct decisions. It is alright to ask questions, but telling your guides what to do is not productive. Please do not put us in this position.

WHERE DO YOU LEAVE CARS AND BAGS

We offer multi day trips canyoneering near Roosevelt Lake, as well as multi day hiking trips in Sedona and Grand Canyon. (CANYONEERING MULTI) If you have booked a canyoneering camping trip, your car will be parked at our camping locations along with the guide’s trucks. We have never had issues in the pristine wilderness, so your car and items can stay here. Try to avoid bringing un-necessary expensive items, but if you must and are concerned contact us and we could store them at our private ranch, but this makes more work for the guides so it is appreciated as a small family company you help make this reasonable for us if possible. If you are canyoneering out of our ranch your car can be left on our private property and your belongings locked in our ranch. If you are concerned and travelling with that much valuable stuff, then the small extra fee to stay at our ranch will re-solve this issue as our private property is locked all day. (GRAND CANYON AND SEDONA MULTIDAY) The day prior to these specific multi day trips, you are required to contact our office at 4pm, for your final trip briefing.

The morning of your trip, we will meet at our office in the Sedona area at the reserved time. Your bags can be locked in our office, and your cars can be safety left in our lot until you return. If you are staying in Sedona and would like to get extra sleep, or you are staying in Flagstaff, Williams, or Tuscayan in regards to our multi day trips into Grand Canyon, we still require a pre-trip briefing phone call at 4pm the day prior to your trip. You will then be provided with your final pickup time for your journey that will begin the following day, and we will pick you up ANYWHERE that you would like in Sedona, Flagstaff, Williams, or Tuscayan (only Sedona or Flagstaff for Rim to Rim trips) the morning of your trip, with front door service at any hotel or private residence. HOWEVER, if you will not meet us at our shop the day of our trip, it is YOUR RESPONSIBILITY to have a place to both leave your rental car/cars as well as your baggage. We can take a small to medium sized bag per person (10-20 pounds), along with us, and get that back to you after the trip is over. Typically this bag simply has any items needed to pack your provided equipment and backpacking bag once we arrive at trailhead. If you need to find a place to leave bags and cars, be aware the hotels WANT YOUR BUSINESS. Typically if you contact a few hotels in any of our pick up cities, and simply tell them you need to leave bags, and/or cars, they will accommodate this to be able to take your reservation. If a hotel will not help with this, we know from years of experience that the hotel around the corner will be happy to accommodate you as to get your business, especially when setting up a hotel room the night prior and the night after your trip with us, as is typically the case. Simply contact a few hotels in any of these cities and you should have no issue finding a place to leave bags/ and cars if in Flagstaff, Williams or Tuscayan. If you need help, contact us, we are happy to help find accommodations that will work with you on this. Again the other option is to simply stay in Sedona, meeting at our office the day of your trip/ for departure where we can store all bags and cars without question here in our Sedona office.

Custom Tours

Any custom tour falls under the terms and conditions of our multi day trip policy as listed above within this policy.

The only exception/change is that the deposit necessary to reserve these trips is 50 percent of the trip cost up-front upon reservation, and this cost is non-refundable. The balance must be paid and will be billed 14 days prior to the trip. If you cancel with greater than 14 days of notice you will only forfeit the 50 percent of trip cost that was non-refundable. The remaining 50 percent balance would not be charged in that case. Once 14 days or less, there are no refunds on the trip whatsoever. The exception as listed in the multi-day tour section would be cancellation on CenterFocus’s end, in which all deposits and fees would be fully refunded.
